STORY TELLER REPORT OF PIE JULY MEETING



We came together again as usual on the subject of making our community World Pulse better and exciting for all. Rangineh our wonderful facilitator started the meeting with a wonderful poem of Maria Popova. It was a wonderful way of encouraging us to beam each other’s light.

After the poem there was a quick check in as we share what gives us hope where members shared wonderful things and moments that was giving them the push to move on. It was a great moment! Rangineh put it in a beautiful way, “as we hear what others share about what is giving them hope is also giving us hope!”

We then move on to listen to the updates from the recruitment ad hoc committee, (Zulma, Dawn and Sally). It was reported that:

Jessica (board chair) has agreed to report back with a Board member from outside North America willing to join the PIE committee moving forward.

Sherna has confirmed she will be coming back to us!

For the 3 available community slots, the ad hoc committee has pulled a short list of potential invitees, edited the form originally used to select participants. Intention is to invite 3 and if they reject, move to next person on the list. Process was looking through full community database using the criteria:

·        People from Asia, Latin America or Europe to add to regional diversity.

·        People who had leadership roles - Digital Ambassadors or Spirit Award winners

·         people who had commented on at least 1 story or initiative in the last 3 months, commented on 3+ stories in the last 3 months and logged back in to the new website.

This resulted in a list of 7 and from that list of 7, ad hoc committee selected 3 though invitations have not gone out yet. There was a Questions from the group about who were selected - wanting to make sure we have regional diversity in PIE, and also wanting to make sure PIE members are active in the community. Ad hoc committee agreed to share more details with full PIE and give everyone 1 week to share feedback before invitations go out.

We then move on to the discussion of Board meeting that will be coming up in September 8 and 9 and the invitation coming for PIE members to join for part of the day on the 8th to share more related to the JEDI / PIE journey. So also, the question from Jessica (Board Chair) and Jeanine on whether we might want as PIE to invite some members of the board to some portion of an upcoming PIE meeting to listen and learn here as well. And we all agreed it would be a wonderful idea.

Community Connection

After the video of the drum and the enjoyment of the rhythm that connected us, we moved on the small group discussions on the break out rooms. Our discussion was centered on the “Onboardig of new PIE members”

Small Group Discussion

For the small group discussions, two jamboard was open for the two questions for the discussions

JamBoard #1: What are all of the things (e.g. information, documents, processes, etc.) we need to include in our onboarding process of new PIE Members? (*See also screen shot at end of doc)These are the contributions from members for the first jamboard:

  • Trust building - somehow to have time with each member of PIE and to weave into the web of trusting relationships that we have built.
  • +1 to 1:1 conversations between current & new PIE members
  • first meeting when we are all together - ensure facilitation includes breakouts for us to each connect with the new members
  • Community building gathering to connect and learn from each other.
  • Special PIE session as meet & greet + community building with new members
  • Brief: What PIE is all about
  • review the prior stories from our time together as PIE and for PIE members to read the WP stories of those who are joining to learn their journey
  • PIE vision and intention documents + an overview of the year's accomplishments and major themes discussed.
  • Brief: What we have been doing so far
  • Inclusivity statement
  • Decision making - sharing the fist of 5 process as we use it
  • Share the journey with the inclusivity statement as a way of sharing how we make decisions, build trust, and create collective results
  • when - prior to the Board meeting on 9/8 so that new members can be integrated and connected and able to engage
  • Inquire into their interest in task forces / the particular work of PIE that they want to contribute to
  • What is expected of them; their commitment and responsibilities
  • They need to be committed to the vision of PIE
  • Must be inclusive and diversity inclined which are core values of WP
  • Values and appreciates the voice of each member because we as a united team are stronger together.
  • Team player and knows how to agree to disagree politely and respectfully with each other.
  • For example, if you miss a meeting you give advance notice and you make every effort to be here. It is a leadership aspect of World Pulse and we need to take up that responsibility.
  • People are looking up to us, watching us, and it is a great responsibility and we should be up to the task.
  • Be willing to work together and sign up for activities and work between meetings - be committed in their working group bring your own wisdom into whatever is being discussed so our voices can come together powerfully.

JamBoard #2: What new or additional processes might we want to introduce and integrate? (*See also screen shot at end of doc)

  • Do we want any rotation of storyteller and community builder so that everyone has an opportunity and no one is burdened?
  • What'sapp group for PIE with some engagement to build community and connect.
  • PIE should now be working on creating programs - interesting programs that will keep our community lively and educative and informing. We should come together and create events that can keep our community lively. People should feel that they are getting engagement in the community. They are being engaged.
  • Community Participation work group doing more active engagement with community - asking questions and getting ideas for new activities
  • timing: Add questions to community survey in September

Then we went back again to the small group to determine the timeline for each of processes metioned in Jamboard 1 & 2

      holding an orientation within 2 weeks of a new member joining and setting

1:1 tea chats over the first month) ▪ Timing: You will have 15 minutes total for this activity. Documentation: Invite one person to capture notes on the Jamboard for each question ▪ Speaker: Invite one person to share out for your group

These are the things we hope people will feel when they are onboarded?

  • We want them to feel prepared before they join the first meeting; to be clear on what they are signing up for
  • Feel confident to speak whatever is in their mind without holding back
  • Want them to know that they are valued; we look forward to what they bring as they get settled in
  • Curious - that they are bringing all of their wisdom and excitement for learning that is available here?

Report of Power Audit

  • First meeting happened between Jessica (board chair) and Jeanine and selected facilitator, Anca from La Sobremesa; part of their charter is an audit & stakeholder interviews. Question is how can the PIE audit committee help bring the work forward. The intention is that the work is integrated.
  • Suggestion that there will be a time that all these groups come together to put together all that we have done - to weave them together to move the community forward.
  • Request for more information on what is happening/has happened - Jeanine will follow up with PIE to share more.

Interest in building capacity for facilitation?

  • Interest from group in facilitating meetings with Rangineh or Kirthi or both? In remaining year or upcoming year? The result of poll was:

  • I love facilitating but two things hold me back. I don’t know how I could really get to hear everyone to do so. Also, most meetings are held when I am at work. It makes it tricky for me. What suggestions could you propose?

Actions:

  • Jeanine volunteered to be included in the onboarding ad hoc committee to help pull together documents and formulate proposals based on data generated from discussion about onboarding new PIE Members
  • Ad hoc committee will share the profiles that we are planning to invite and any content we are sharing; give people a week to give feedback
  • Creation of WhatsApp Group that can help with real-time prompting - Dawn can set this up
  • If you are interested in co-facilitating a PIE meeting follow up with Rangineh and Kirthi to talk it through
